CE 21st CCLC Summer School Clerk II

Location:  North Canyon High School

Temporary Position

 

Summer School Dates: 6/3/2024 - 6/27/2024

In-Person School Hours:  Monday - Thursday, 8:00 a.m. - 12:30 p.m.

(Clerk needed 4 hours per day)

Payment:  Grade 11, $14.42/hour paid through timesheets

Purpose Statement

The job of Clerk II is done for the purpose/s of greeting and directing visitors, responding to inquiries from staff, the public, parents, students, etc., providing clerical support to administrative personnel, and providing requested information and/or referral to other parties.

This job reports to the Building Summer Site Coordinator.

Essential Functions

Answers telephone system for screening calls, transferring calls, responding to inquiries, and/or taking messages, emailing messages.

Coordinates a variety of projects, functions, and/or program components (e.g. meetings, Read Across America program, substitute coverage, peer mediation schedules, etc.) to complete activities and/or deliver services in a timely fashion.

Greets individuals entering the building (e.g. visitors, parents, students, vendors, etc.) for the purpose of responding to inquiries; and/or directing individuals to appropriate locations in accordance with established building security procedures.

Inputs data into commercial and customized databases (e.g. attendance, scheduling, employee parking, transcripts, etc.) for the purpose of ensuring the accuracy of data.

Maintains a wide variety of manual and electronic documents files and records (e.g. absence reports, etc.) to provide up-to-date information and/or historical reference by established administrative guidelines and legal requirements.

Performs general clerical functions (e.g. copying, faxing, data entry, filing, etc.) to support office operations.

Schedules a wide variety of activities (e.g. appointments, building use, bus, and van usage, etc.) to make necessary arrangements for assigned administrators and supervisors.

Distributes items within the site (e.g. mail, discipline notes, special delivery and overnight mail/packages, messages, etc.) for the purpose of ensuring receipt to the addressee.

Receives a variety of items (e.g. mail, special deliveries, packages, supplies, etc.) for the purpose of distributing materials to appropriate parties.

Other Functions

Maintains reception area materials for the purpose of providing resource information to visitors.

Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Job Requirements: Minimum Qualifications

Skills, Knowledge, and Abilities

SKILLS are required to perform multiple tasks with a potential need to upgrade skills to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform the functions of the job include: preparing and maintaining accurate records; operating standard office equipment; utilizing pertinent software applications; customer service; and screening telephone calls.

KNOWLEDGE is required to perform basic math; understand written procedures, write routine documents, speak clearly; and understand written and oral instructions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include business telephone etiquette; office practices; record-keeping and record retention practices.

ABILITY is required to schedule activities and/or meetings; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing specific, defined processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with similar types of data; and utilize specific, job-related equipment. Some problem-solving may be required to identify issues and select action plans. Problem-solving with data may require independent interpretation, and problem-solving with equipment is limited. Specific ability-based competencies required to satisfactorily perform the functions of the job include: maintaining confidentiality; adapting to changing priorities; working with frequent interruptions; communicating with diverse groups; displaying tact and courtesy; and organizing tasks.

Responsibility

Responsibilities include: working with immediate supervision; providing information and/or advising others; utilization of some resources from other work units that may be required to perform the job's functions. There is some opportunity to affect the organization’s services.

Work Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling, and significant fine finger dexterity. Generally, the job requires 85% sitting, 10% walking, and 5% standing. This job is performed in a generally clean and healthy environment.

  

Experience: Job-related experience is required.

Education:    High school diploma or equivalent.
