 iVisions Software Support Specialist

Location: DAC - Finance Department

12 months, 8 hours/day

Exempt Position

Salary Range: $75,000 - $85,000

Start Date: Immediately 

  

PURPOSE: 

The job of iVisions Software Support Specialist is to manage the District’s Finance and Human Resources Management System.  The position will  assist with ancillary financial and human resources software such as but not exclusive to: TalentEd, Frontline Absence Management, Employee Access and InTouch Bookstore software. The position will troubleshoot software issues and provide instruction and advice to system users. The position will administer security within iVisions.

This job will report to the Director of Budget and Finance

Essential Functions:

Collaborates with Data Accuracy Specialist to create user security roles and to make sure those roles provide correct access for end users while maintaining the confidentiality of system data. 

Administers iVisions security including but not limited to: Purchasing Payables, HR and Payroll, Assigned Account Codes, Warehouse access and available DACs. 

Reviews, edits and maintains Workflow roles for Par and Requisitions. Add and remove users from Workflow roles as appropriate.

Reviews, edits and maintains Distributed Accountability Centers.  Modifies or adds DAC account masks to allow or restrict access for various accounts and reports as necessary. 

Responsible for any iVisions Security User Defined Forms requests.  Completing the required changes or requesting additional information or guidance on the request if outside the normal setup for a user.

Create cases for Tyler Support for Software issues or questions regarding software functionality.  Work with Tyler on resolutions and aid end users in implementing the case resolution.  

Assist in developing and editing various data checks/pokes for coding or data consistency with Data Accuracy Specialist to be run daily and be emailed to HR and Finance. Collaborate with Data Accuracy Specialist to aid in any data pulls to make sure correct data is being pulled. 

 

Responsible for complex data projects requiring data be pulled from various systems, manipulated for the parameters of the project, and sometimes uploaded back into a system.

 

Provide technical support in the creation of training materials for end users for various departments. Assist in end-user training and provide assistance for new user access and basic "how to" instructions for things like: Changing DACs, Changing Connection groups, and getting linked in Employee Access. 

 

Develop or refresh Provisional Databases for each department as requested.  At the end of fiscal year remove any unneeded Provisionals to make room for new Provisionals. 

 

Responsible for Annual Roll-Over of Connection groups in conjunction with a team consisting of HR, Payroll, Finance, and Purchasing, who will determine the timing of the Roll Over. 

 

Perform rollover of data for various departments when requested to do so.  Set up email notifications in the new connection group for reqs, ePars and User defined forms. Make any required updates to default settings for the new connection group. 

 

Collaborates with Data Accuracy Specialist to make prior year connection group read-only when requested to make that change. Or update selected rolls to make read-only when requested. 

 

Responds to inquiries relating to the system and interfaced ancillary financial and human resources software applications, problems and issues for the purpose of providing help-desk support and, resolving problems or contacting the appropriate source to help resolve the problem. Manages the Visions/Bplus help work group. 

 

Other Functions

Performs other related duties as assigned for the purpose of ensuring the efficient and effective function of the software.

Skills, Knowledge and Abilities

 

SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions.  Specific skill based competencies required to satisfactorily perform the functions of the job include:  applying district, state and federal policies and regulations; operating standard office equipment; performing standard bookkeeping/accounting procedures; preparing and maintaining accurate records; and utilizing pertinent software applications.

 

KNOWLEDGE of iVisions software is required. Excellent troubleshooting and customer service skills. Knowledge of basic SQL preferred but not required. Learning SQL is required if not already known. Ability to perform basic math is required, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include:  accounting/bookkeeping principles.

 

ABILITY is required to schedule activities; collate data; and use basic, job-related equipment.   Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods.  Ability is also required to work with a wide diversity of individuals; work with similar types of data; and utilize job-related equipment.  Problem solving is required to identify issues and create action plans.  Problem solving with data may require independent interpretation; and problem solving with equipment is limited.  Specific ability based competencies required to satisfactorily perform the functions of the job include: maintaining confidentiality; meeting deadlines and schedules; setting priorities; and working with detailed information.

Work Environment

The usual and customary methods of performing the job’s functions require the following physical demands; some lifting, carrying, pushing, and/or pulling. And significant fine finger dexterity.  Generally the job requires 60% sitting, 20% walking and 20% standing.   This job is performed in a generally clean and healthy environment.

 

Experience: Three (3) years of prior experience working with data.

Education: High School Diploma or GED.  Bachelor’s degree preferred.
